Refund & Cancellation Policy

At The Travels Lanka, we understand that travel plans can sometimes change. Our refund and cancellation terms are designed to provide clarity while accounting for the different hotels, transportation providers, activities, and other travel services involved in each booking.

Because our tours are personalized and arrangements are often made specifically for each traveler, cancellation and refund conditions may vary depending on the booking.

1. General Cancellation Terms

Cancellation requests must be submitted to The Travels Lanka in writing by email or through another officially recognized communication channel.

The date on which we receive the cancellation request will be used when determining any applicable cancellation charges.

Any refund will be calculated based on:

• The date of cancellation.

• The payment already made.

• The cancellation terms of the hotels and other service providers involved.

• Any non-refundable services or deposits.

• Costs already incurred by The Travels Lanka on behalf of the traveler.

• Any applicable payment processing, bank, or transaction charges.

2. Cancellation Before Travel

If a traveler cancels a confirmed booking before the scheduled travel date, we will review the booking and determine the refundable amount based on the applicable supplier cancellation policies and costs already incurred.

Some services may be fully refundable, partially refundable, or non-refundable.

Where a supplier has charged The Travels Lanka a cancellation fee, that amount may be deducted from the refund payable to the traveler.

3. Non-Refundable Services

Certain components of a booking may be non-refundable once confirmed.

These may include, but are not limited to:

• Non-refundable hotel bookings.

• Special accommodation rates.

• Advance payments to suppliers.

• Pre-booked activities or excursions.

• Transportation arrangements.

• Entrance tickets.

• Special events or experiences.

• Other services purchased under non-refundable terms.

Where a service is non-refundable, the corresponding amount may not be included in any refund.

4. Changes to a Booking

If you wish to change your travel dates, accommodation, activities, transportation, or other parts of your itinerary, please contact us as early as possible.

We will make reasonable efforts to accommodate requested changes.

However, changes may result in additional charges, depending on availability and the terms of the relevant service providers.

5. Cancellation by The Travels Lanka

In exceptional circumstances, The Travels Lanka may need to modify or cancel part or all of a travel arrangement due to circumstances outside our reasonable control.

Where this occurs, we will make reasonable efforts to offer an alternative arrangement.

If a refund is available, the amount will depend on payments recovered from the relevant service providers and any applicable non-refundable costs.

6. Changes Caused by Unforeseen Circumstances

Travel arrangements may be affected by circumstances such as:

• Severe weather.

• Natural disasters.

• Government restrictions.

• Road closures.

• Strikes.

• Civil disturbances.

• Public health emergencies.

• Airline or transport disruptions.

• Supplier closures or failures.

• Other circumstances outside our reasonable control.

In such situations, we will make reasonable efforts to assist the traveler and find suitable alternatives where possible.

Refunds, credits, or alternative arrangements will depend on the circumstances and the policies of the relevant service providers.

7. No-Show

If a traveler does not arrive for a confirmed booking or fails to use a booked service without providing prior notice, the booking may be treated as a “no-show.”

No-show bookings may be non-refundable, depending on the terms of the relevant service providers.

8. Late Arrival

If a traveler arrives late and misses a hotel check-in, transfer, activity, excursion, or other scheduled service, the service may not be refundable.

Where possible, we will attempt to assist with rearranging the service, subject to availability and any additional costs.

9. Refund Processing

Once a refund has been approved, we will process the applicable amount using the available payment method or another mutually agreed method.

The time required for the refund to reach the traveler may depend on the payment provider, bank, currency, and international transaction processing times.

Any bank charges, currency conversion fees, or payment processing charges may be deducted where applicable.

10. Third-Party Cancellation Policies

Hotels, airlines, transportation providers, activity operators, and other suppliers may have their own cancellation and refund policies.

Where these policies apply to your booking, they may determine whether a particular amount is refundable.

The applicable cancellation conditions will be communicated to the traveler where relevant before confirmation.

11. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance before your trip.

Travel insurance may provide protection against certain unexpected events, including trip cancellation, interruption, medical emergencies, baggage issues, and other travel-related losses.

The Travels Lanka is not responsible for losses that could reasonably be covered by travel insurance.

13. Policy Changes

The Travels Lanka may update this Refund & Cancellation Policy from time to time.

The version applicable to a confirmed booking will generally be the cancellation policy communicated to the traveler at the time of booking, unless otherwise required by applicable law or agreed in writing.

14. Governing Law

This Refund & Cancellation Policy shall be governed by and interpreted in accordance with the laws of Sri Lanka.

Nothing in this policy is intended to remove or limit any rights that cannot legally be excluded under applicable law.
